How Mandir Management System handles your details. Last updated 20 September 2026.

This app is used by the karyakars of BAPS Shri Swaminarayan Mandir, Melbourne to organise seva, rooms and events. Only people the Mandir has added can sign in. It is not open to the public, and there is nothing here to join.

What is recorded about you

  • Your details — your name, and an email address or a mobile number, or both.
  • Your seva — the teams you serve in, which one is your main seva, and whether you lead a team.
  • Clearances — where a seva requires one, the type of clearance, its reference number and expiry date, and who sighted the original document. No copies or scans of documents are stored.
  • Your seva work — bookings, tasks and rosters you are part of.
  • Sign-in and changes — when you last signed in, and a record of changes made in the system, including the internet address they were made from.
  • Notifications — if you turn on notifications, the subscription your phone or browser provides, and a record of what was sent to you.

Your password is stored scrambled, in a form nobody can read back, including us. If you sign in with a Google or Microsoft account instead, we receive only your name and email address from them, never your password.

Why it is recorded

To run the Mandir's seva: so a lead knows who is on their team, so the right people are told about a booking or a task, so a clearance is renewed before it expires, and so there is a record of who changed what.

Who can see it

Your team lead, the Volunteer lead, and the Mandir's coordinators and administrators, each according to their role. Other sevaks see only what they need in order to serve alongside you, such as who else is on a roster.

Your details are never sold, never shared for marketing, and never used for advertising.

There is no advertising in this app, and no third-party tracking or analytics.

Where it is kept

On a server in Sydney, Australia. Backups are encrypted before they leave that server. Email is sent through SendGrid, and where you sign in with Google or Microsoft, that sign-in happens with them; both of those companies may handle that information outside Australia.

How long it is kept

While you serve at the Mandir, and afterwards as part of the Mandir's seva record. Clearance records are kept for as long as the Mandir is required to show they were checked.

Seeing, correcting or removing your record

Write to info@webchampion.com.au and ask. You can ask to:

  • see everything recorded about you;
  • correct anything that is wrong;
  • turn off notifications, or stop non-essential email;
  • be taken off the roll, which removes your seva and access and switches off your sign-in;
  • have your record erased entirely.

Removing you from the roll is the usual step, because seva history belongs to the Mandir's records. If you ask for full erasure we will do it, except where a record must be kept to show a clearance was properly checked. We will tell you which applies, and we will answer within 30 days.

Children

Accounts are for karyakars who serve at the Mandir. The app is not intended for children, and children do not sign in to it.

Changes to this page

If what we record or how we use it changes, this page is updated and the date at the top changes with it.
